Notes from the July meeting are below. I will also attach the file to 
this email.

*Meeting Notes for July 7, 2021 Meeting of the Worship & Music Committee*

*Theme for 2020-2021: How can we be mindful and authentic in cherishing 
all life?*

In Attendance (on Zoom): Rev. Kat Hawbaker, Suzyn Mills, Adeline Bailey 
(subbing for Martha)

 1.

    Minutes of June 2 meeting were not received by those in attendance.
    Perhaps resubmit at August meeting for approval.

 2.

    Formulate feedback about technology proposals to Al Tuttle and Board
    via Nancy Luthy. What do we recommend to Board on Audio Visual
    Upgrades?

Worship & Music supports the *AV items already ordered and 
purchased*after receiving Board approval: the new sound board system, 
the network computer (Mike Bailey ordered) and the laptop (from Joe 
Baker), and a small number of hearing assist devices to be evaluted by 
users. Thank you for approving these necessary upgrades to our systems.

Taking into account the rapidly changing needs for presenting "hybrid" 
services, the committee recommends that we *wait for financial impact 
considerations on the future purchase of a big screen and projector.* We 
suggest working with what we have now to explore options for the 
placement of the current TV/Monitor. Ideas put forth include raising the 
current monitor, and/or moving it to a more centered position. (To test 
some ideas, the worship tech team will adjust the set-up for the July 18 
service.)

The *camera recommended by the tech team *would enhance various aspects 
of the in-person service as well as the Zoom broadcast. The tech team 
has been experimenting with smartphone cameras to cover some parts of 
the services that could be better included using the features of the PTZ 
camera. The committee recommends that the *camera purchase take 
priority* over the purchase of the screen and projector.
              
Most importantly, Worship & Music recommends that the Board (and 
congregation) consider creating a *Special Fund Appeal *for these large 
purchases. Although it is our understanding that the Buildings and 
Grounds committee has agreed to submit a proposal to the Board of Trust 
Governors for these purchases, it would be heartening to have a show of 
support from the congregation for these improvements to our worship program.

 3.

    Moving Forward with Virtual Worship and Return to In-Church
    Services: How is it going? What are next steps?

- By September, the goal is to have new safety guidelines in place, and 
some better plans for our in-person services that include the Zoom 
broadcast.

- Phase out Facebook Live. Post a recording of the service to FB later. 
(*If Kat remembers to start recording.)

- Perhaps use the web site to post services. Discuss feasibility with 
webmaster Ralph Olander.
- NO SINGING in service at this time. Future changes may allow singing.
- How to engage Zoom and other technology for outreach and accessibility.
- Enhance the live service with cameras and TV projection (ie. Time for 
All Ages)
- Permission for using images on video or recordings.
- OBS is a great system. Need material well in advance to Load YouTube 
material onto computer and into OBS.
- What are the other possibilities for outreach to people who can’t be 
live or on zoom?
- REVIEW GUIDELINES FOR DESIGNING/PREPARING WORSHIP SERVICE
4. Correspondence: Martha has sent a thank you note to David Torbett.

5. Financial Matters: Approved $100 donation from W & M Committee budget 
to Meadville-Lombard Theological School. [Donation has already been sent.]

David Torbett has been sent a stipend of $150 because he is an ordained 
minister but was speaking as an academician.

Kat - $250 donation online to UU The Vote and request for reimbursement???

6. Other groups (Board, Board of Trust Governors, Caring Committee, 
Building & Grounds, Membership, BRIDGES, Finance) to take part in or 
take responsibility for worship service?


- At this time, we think the committees would be more likely to 
contribute an "informational component" to a worship service, rather 
than take responsibility for an entire service. Committee membership is 
down, including W&M (only three people at this meeting), so perhaps a 
committee recharge or committee fair is needed.
