Worship Committee members -- Please review the minutes to see Action Items and -- especially -- to assess the proposed Budget Request for 2017-18. We can adjust and approve the request at the March 1 meeting. Martha
Minutes of February 1, 2017 Meeting of the Worship & Music Committee
& Updates
In Attendance: Rev. Kat Hawbaker, Adeline Bailey, Peggy Clifford, Tabatha Hubbard, John Maddox, Martha McGovern (Chair), Suzyn Mills
NEXT MEETING: Wed., March 1, 5:00 p.m. Parlor
1.. Minutes of the January meeting were approved.
2.. The Committee sent condolences to Shari on the loss of her brother.
3.. Correspondence: report deferred until next meeting
4.. Reflection on January Coffee Hour Information Session: Martha presented the topic and story suggestions and volunteer names collected from the session. The group felt that too much was going on that day for optimum impact and also recommended better preparation during announcements. They also suggested that a one-day sign-up opportunity for all avenues of participation would be more effective.
Action Item: Adeline will make the extra sign-up sheets available to the Greeters.
5.. Reports from Specific Task Teams:
1.. Sanctuary Decoration Team: The committee observed that the holiday un-decorating process was fairly chaotic this year. In the future, arrangements for decorating AND un-decorating need to be put in place at the same time.
Action Item: As a follow-up, Martha will coordinate with the De-Clutter Corps to arrange a time to revisit the storage of holiday materials, especially identifying appropriate containers and purging materials. [Wendy Morey will put Martha on the contact list for the D-C C and, tentatively, the March meeting will be devoted to this endeavor.]
Action Item: The committee suggested that year-round attention to aesthetics needed the establishment of an additional task team, the Aesthetics Task Team. Martha will ask Nancy Lee to serve as coordinator of that team. Amy Miller was suggested as another potential member. [Nancy Lee and Gillian Harrison, along with Jane Tumas-Serna, have agreed to serve on that team.]
2.. Special Music Team: Suzyn was congratulated on arranging the C-Notes for the January 5 service. She will schedule Blake Hubbard for a Sunday in February and will coordinate the performance of "Quiet" by Kat, Dawn, and herself for a Sunday in March.
3.. Piano Task Force: Suzyn
4.. Technology Task Force: Adeline shared information from a past report from Ralph Olander and Mike Bailey which helped the committee determine our budget request for technology. It appears that stable stands for the projector and screen are immediate needs as well as more versatile projection equipment. Other purchases will need to be coordinated with long term sanctuary renovations.
5.. Task Force for the Time for All Ages:
6.. De-Clutter Corps:
5.. Music stands: Suzyn reported that she used credit at the local music store to purchase one stand. Tabatha volunteered another one when it becomes available in the future.
6.. Selection of Specific Lamp for Piano: Shari - report deferred to the next meeting.
7.. Cards to Community Workshop - John reported that the workshop and delivery went very smoothly. All receiving facilities were very pleased with the project.
8.. Update on FUUSM attire - John reported that he will take orders for t-shirts in February. Basically, the shirts are $15 each or 2 for $25. (Size 2X will cost $17 each or 2 for $29.) People need to pay as they order. He will order 100 shirts. Action Items: Kat will create a poster for display. John will make announcements in the sanctuary. John will set up a table with sample shirts, and John and Tabatha will take orders during coffee hour.
9.. Opportunity: Marcia McFee will be giving a workshop in Pittsburgh, April 8, 2017 "Designing Worship like a Filmmaker"
Action Item: Kat will request that the Board set up a budget line for leadership development funds for members/friends of the congregation. The committee encourages one fund at the Board level rather than multiple lines at the committee level because 1) the funds may not be needed by a committee each year and 2) leadership development often involves multiple areas of congregational life.
11.. Proposed Budget for 2017-18: The proposed budget is due March 1. Please see the attached draft of the budget and let Martha know of needed changes/corrections.
12.. Theme for Year 2016-17: "What does democracy look like?"
13.. Possible Topics and speakers for future services: multiple intelligences, powerful children's stories, ages of women, This I Believe, family stories as carriers of family values, June Teenth celebration, reflections of people who grew up in UU congregation (Jay Phillips, Mike Bailey, Dean Banziger), Bill Bauer on suicide and kindness, reflections of former ministers, Jim Couts on Jubilee Gardens, LeeAnn Gallucci on recovering from loss, Living Mindfully - Prepare for the Unexpected (Robin Bozian, Anita Newhart, Sue Montera, Virginia Mayle), anti-bullying and Shari's Flower Story, Quill as a storyteller, Quakers on consensus.

Explanation of Worship & Music Requests
1. Music, Other: Costs of sheet music and downloads for last year were $425.
2. Piano Maintenance: Randy now has an electronic keyboard for practice, so the cost for tuning the practice piano once per year has been eliminated.
3. Worship Program:
· The standard pay for an ordained minister as guest speaker has risen to $250.00.
· Part of the pianist's compensation is six paid Sundays off, but music is so critical to the worship service that we have needed to pay a substitute pianist $100 for each of those Sundays.
4. Worship Supplies:
· Worship & Music Committee has identified the need for more stable stands for both the projector and screen in the sanctuary and for more versatile projection equipment.
· The Committee also established an Aesthetics Task Team and realizes that they need a budget to acquire resources for beautification of the Sanctuary.
