Minutes for May 2, 2018 Meeting of the Worship & Music Committee
In Attendance: Adeline Bailey, Martha McGovern, Maggie Meyer, Suzyn Mills
1.. Minutes of the April were approved.
2.. Correspondence: Martha - Thank you notes have been sent to all guest speakers.
3.. Reports from Specific Task Teams:
1.. Aesthetics Team: Kat - The banner has been unveiled, and Jane Tumas-Serna is coordinating the May art display.
2.. Special Music Team: Suzyn - Andrew McKnight has agreed to provide special music and the reflection for September 23. Cost will be $200.
3.. Worship Associates Team:
4.. Piano Task Force: Suzyn - Lock is in for electronic piano. Clavimover is expected soon. During the Yard Sale, Suzyn will post a sign on the piano for anyone interested in acquiring the piano to contact her.

4.. Folder: Adeline Bailey - Committee members agreed that the card stock weight is good. Adeline will proceed with making additional copies. The group also suggested that the Affirmation be pasted into the hymnals so that attendees will always have access to it. AI - Martha
5.. Coordination with Buildings & Grounds: Maggie reported on progress of the task force in the Social Hall and Bride's Room. Items have been donated to Goodwill and the Yard Sale. Plans are underway to provide tailored storage.

8.. Budget Proposal for 2018-19: As of April 8, 2018, the Finance Committee has reduced the budget to $3315. The Committee foresees that we can function within this reduction. Jessica Baldwin foresees that she will be out of town frequently. Although Randy has taken his contractual days off at convenient times, the Committee members recommended that we identify additional pianists who may be able to step in when necessary. AI - Martha
Martha and Shari will communicate to the Finance Committee and the Board that the Committee suggests that, starting with the new fiscal year, when Martha Webster contracts to take full responsibility for preparation of and direction of a particular piece, she be paid $50, which is the rate for a guest musician.
9.. Reflection on Annual Meeting: In the future, especially if we hold the worship service in Social Hall before the Annual Meeting, here are some suggested improvements.
A. Schedule the space well in advance so that Adult RE can plan accordingly.
B. Plan for transfer of essential supplies (e.g., nametages, collection plates, hymnals).
C. Identify a person whose only duty during the meeting is serving as Parliamentarian.
10.. Assessment of April services: Adjusted grid is a useful guide. Committee members suggest that a few members in the congregation be asked to use the grid to provide feedback - perhaps Greeters. AI - ???
11.. Purchase of multiple copies of Singing the Journey (Teal Supplement): We currently have about ten copies of the supplement and need at least 40 more. The price is $20 each for 1 to 9 copies, $16 each for 10 or more copies. Therefore, 10 copies would cost $160; 40 copies would cost $640. Committee members concurred that 40 copies should be purchased all at once so that we have enough to utilize them in services. They also agreed that we should delay any action because the congregation has so many projects in progress that need finances.
