Minutes for June 6, 2018 Meeting of the Worship & Music Committee  

In Attendance:  Adeline Bailey, Kat Hawbaker, Martha McGovern, Shari Miller, Suzyn Mills

Next Meeting - Move to July 2 or 3???  Other?

  1.. Minutes of the May were approved. 
  2.. Correspondence:  Martha -  We are up-to-date. 
  3.. Reports from Specific Task Teams:  
    1.. Aesthetics Team: Kat - The team will dismantle decorations after the congregation has moved to the Social Hall for the summer. 
    2.. Special Music Team: Suzyn - Andrew McKnight has agreed to provide special music and the reflection for September 23.  Cost will be $200.  
Dennis Warner (Beads on One String-anti-bullying) is a possibility for fall of 2019.  She 

            is coordinating with other venues.

    3.. Worship Associates Team:  Martha will coordinate efforts to orient/re-orient WA's so that all duties are addressed consistently. 
    4.. Piano Task Force:  Suzyn reported that the clavimover has arrived.  Kat shared that Bonnie Bolen will utilize the former piano as a resource for artwork.  Randy has started to plan for a fund-raiser to refill the fund so that we will be able to complete additional work on the grand piano (restringing, refurbishing cabinet) in the future. 
    5.. Technology Task Force: The Committee agreed that we should purchase another multi-directional microphone and charge the purchase to the 2017-18 budget.  Martha will notify Mike Bailey.

The group also suggested that the Affirmation be pasted into the hymnals so that attendees will always have access to it.   Martha, Shari, and Suzyn will follow through on creating labels and placing them into the hymnals.  

  5.. Coordination with Buildings & Grounds:  Maggie shared a report from the Storage Committee.  On June 7, Jani-Source will treat the walls of the Social hall to remove/deter mold and mildew.  During the week of June 11, the walls will be scraped and patched.  During the week of June 18, the walls will be painted with a water sealant called Drylock.  Joe Baker is getting bids for storage cabinets in the Social hall and the Bride's Room.
The Committee remarked on the clearing of the bulletin boards and the resulting neat appearance of the Social Hall.  The group suggested that all committees allocated a bulletin board should designate a person to keep the display up-to-date and attractive.  In addition, they proposed that, as part of her duties, Nancy Lee oversee the bulletin boards for Community Resources and FUUSM Events.  Martha will notify the relevant persons so that the suggestion is implemented. 

  6.. Board Update: Shari reported that the Board will be developing a safety plan.  She also clarified the Going Forth - Split the Plate initiative that will be piloted for July, August, and September. 
  7.. Expenditures:  Meg and Todd Hoke ($150 + $50 = $200) - Dawn Hewitt will present the check to them on Sunday, June 10.    Kat also clarified the amount of $200 that will be contributed to UU Justice Ohio as per request of Samuel Prince, who was guest speaker this spring.  
  8.. Budget Proposal for 2018-19:  As of April 8, 2018, the Finance Committee has reduced the budget to $3315.  
Related to budget needs - Jessica Baldwin expresses willingness to substitute for Randy Kidder when she is in town.  She has no recommendations for others.   

Martha and Shari will communicate to the Finance Committee and the Board that the Committee suggests that, starting with the new fiscal year, when Martha Webster contracts to take full responsibility for preparation of and direction of a particular piece, she be paid $50, which is the rate for a guest musician.   

  9.. Reflection on Annual Meeting:  In the future, especially if we hold the worship service in Social Hall before the Annual Meeting, here are some suggested improvements.  
A.  Schedule the space well in advance so that Adult RE can plan accordingly.  

B.  Plan for transfer of essential supplies (e.g., nametags, collection plates, hymnals).  

C.  Identify a person whose only duty during the meeting is serving as Parliamentarian.

            lodging and hospitality to Meg and Todd.

June 24 -Live-Streaming of  GA - Mike Bailey will coordinate.  W & M Comm will provide

 coffee and snacks.    Adeline will facilitate preparation of the order of service hand-out.    (BRIDGES - chalk art)

Bill McNeely - delay till fall

Dr. Nkenge Friday of Office of Diversity and Inclusion, Marietta College - Will fit either current or new theme.

Suzyn Mills and Kat will collaborate on a service entitled "Are We Exceptional?" for July 29.
