Minutes for December 5,  2018 Meeting of the Worship & Music Committee 

In Attendance:  Adeline Bailey, Kat Hawbaker, Martha McGovern, Maggie Meyer, Suzyn Mills, Rebecca Phillips 

  1.. Minutes of the November meeting were approved.   
  2.. Correspondence:  Martha has sent most thank you notes and requested input for a service she missed. 
  3.. Reports from Specific Task Teams:  
    1.. Aesthetics Team:   Kat reported that holiday decorations will remain up until after the January 6 service.  Dismantling and storing will probably be on Tuesday, January 8.  The team is arranging for shelving and clear bins in the storage closets.  
For the informational handout, Adeline and Martha will send descriptions of the various Sanctuary displays to Chris.

    2.. Special Music Team:   Suzyn reported that the Valley Renaissance Consort will play for the January 6 service. 
    3.. Worship Associates Team:

    5.. Technology Task Force: Ralph Olander has located and purchased a television with a larger screen for use in the Sanctuary.  He will consult with the Storage Committee about options for storage and placement for visibility.

  3.. Coordination with Buildings & Grounds:  Maggie - Please see attached report. 
  4.. Expenditures:  Martha has submitted a request a request for $50 to cover Martha Webster's preparation of one Choir piece (November 4, 2018) so far this current fiscal year.  
The Committee also approved 1) reimbursement of Ralph Olander for purchase of the television and 2) payment for the repair of the pedal on the home-practice electronic piano.

  6.. Assessment of Service:  Ribbon Ceremony, December 2
What went well:  Choir piece was appropriate and moving.  

Kat's prompt elicited thoughtful responses by the congregation as they brought their 

ribbons to hang on the tree.

What to refine:  

Adjust procedures for coming forward to changing circumstances and give clear directions.

Effective use of new/unfamiliar songs (e.g., involvement, confidence,  message, number)

Ask Dave Ballantyne to be an official helper with hanging ribbons?

Thematic:  The service was coherent - "We are all connected."  

Spirituality/Faith Traditions: Indigenous peoples were honored.  Displays featured multiple faith traditions.  We sang "Peace, Salaam, Shalom." 

Life Span:  All ages were involved in the ribbon ceremony.

  7.. Campaign for purchase of teal hymnals  (donate - acknowledgement in hymnal - combine with service that features hymns from the book) - For future discussion 
  8.. Services for  December- March:  
Kat will contact Jann Adams about being speaker on March 10.

Martha will contact Melissa Jeter about service on February 24 or date in March.

  9.. Theme for Year 2018-2019:  "How can we inspire leaders for a complex world?"  [Try inductive approach and re-cap]
The Committee agreed to use #592 The Free Mind by William Ellery Channing as the guiding reading for the thematic year.

Storage Committee Report

To: Worship and Music Committee

·        Joe Baker reported that the chair storage units have been completed. With the restoration of one chair dolly, approximately 15 chairs left without storage. The remaining dolly will be donated or discarded  

·        Joe Baker reported progress is being made in organizing the Bell Tower and decluttering the choir loft. Rev Kat, Nancy Lee, and Joe have gone through stored items in the Bell Tower and choir loft. The Tower has now been cleaned. Now a "more orderly" assessment of items to be stored can be done. Joe concluded that "we are definitely making progress." The Committee's original guiding principle for determining what to do with items is being followed: items that were not used last year, or not used this year, or not to be used next year will go to the yard sale, or donated to Goodwill or discarded. Joe's assessment was that "progress is definitely being made." 

·        Nancy Lee's Report for the Aesthetics Team: We didn't do a lot of purging during the decorating process because we weren't sure what we'd be using or discarding.   We agreed to take inventory of what we didn't use when we do the takedown of decorating in early January and get rid of superfluous stuff.  Also, we were hoping to update the storage area in the sanctuary and make it more user friendly prior to putting things away this year. This past Sunday I happened to speak with Ralph Olander and Mike Bailey about our hopes for some shelving, lighting and storage bins. Ralph immediately rigged a hanging light in that area, and Mike said he has shelving that would work and also storage bins recently donated by someone.  So we are hoping to get all that in place prior to takedown and make things much easier for next year.  We think there will be room for at least Xmas and day of the dead decorations.  I believe we are un-decorating sometime before January 8 or right around then.

·        The Committee's next meeting will be after the holidays.

Music and Worship Meeting:

·        Chair Storage: It was suggested that two chair dollies be restored so all chairs can be stored. It was suggested that the Committee should examine the area between the Fellowship Hall and the restroom as a possible chair storage area. 

·        Storage Committee should facilitate the placement and storage of the new 65" flat screen TV with a depth of 10". The TV need to be mounted and stored in such a way that it can 1) be easily moved and 2) located where it can be seen by congregation.  Ralph Olander and Mike Bailey need to be included in this process. Maggie Meyer suggested that the Committee should explore if Darryl Ting is willing to build a storage cabinet that fits both these criteria.
