Minutes of April 4, 2018 Meeting of the Worship & Music Committee
In Attendance: Adeline Bailey, Kat Hawbaker, Martha McGovern, Maggie Meyer, Shari Miller, Suzyn Mills

1.. Minutes of the March meeting were approved.
2.. Correspondence: Martha will send thank you to Jane Tumas-Serna and Nancy Lee for splendid Easter Sanctuary display. Kat will send a thank you to Samuel Prince, and Adeline or Dawn Hewitt will send a thank you to Jean Ambrose.
3.. Reports from Specific Task Teams:

4.. Piano Task Force: Suzyn reported that congregational response to the new electronic piano has been very positive. Randy is enjoying the new options of the instrument and has scheduled weekly sessions to experiment. She will bring Karen Binkley up to date on developments, speak with Geoff Schenkel, and clarify procedures for sale of the casters with Chris Keller. We are still awaiting delivery/installation of the lock and clavi-mover; Suzyn will provide records of the financial transactions to W & M Committee and the Board.

3.. Folder: Adeline Bailey reported that 75 additional color copies of the re-usable folder have been made at the cost of $88.50. She has purchased a ream of card stock for $31.45 and will see whether the paper is compatible with the FUUSM copier so that a few copies can be made to replenish or to update the folder.
4.. Coordination with Buildings & Grounds: Maggie facilitated a discussion to formulate plans for next steps. The Task Force group, composed of Nancy Lee, Maggie, Kat, and a B & G representative, will plan to meet for approximately ten 2-hour sessions to sort stored materials into the categories of keep/contribute to May yard sale/discard. The first session will be Tuesday, April 10. Betsy Kalter has volunteered to help with the implementation of the decisions.
5.. Board policy concerning special collections: Shari reported that the Board will be proposing a trial period to determine the impact of special collections. They propose that once per month (the first Sunday of the month) in July, August, and September, half the offerings (unless otherwise designated) will be donated to approved causes.
6.. Expenditures: The Committee approved stipends for: Jean Ambrose ($75) - Jean Ambrose received the check; Samuel Prince ($150) - Kat will communicate to confirm that he would like the check sent directly to UU Justice Ohio. [Meg and Todd Hoke ($150 + $50 = $200)]
7.. Budget Proposal for 2018-19: The Committee approved a budget request for $4315.
*As of April 8, 2018, the Finance Committee has reduced the budget to $3315.
Martha and Shari will communicate to the Finance Committee and the Board that the Committee suggests that, starting with the new fiscal year, when Martha Webster contracts to take full responsibility for preparation of and direction of a particular piece, she be paid $50, which is the rate for a guest musician.
9.. Annual Report: The report has been submitted to Chris for the April meeting. Martha will report for the Committee unless the meeting runs late; Suzyn has volunteered to serve as an alternate spokesperson.
10.. Reflection on April services: The Committee found the categories in the grid useful for analysis and suggested adjustment of display. Members will reflect on services as soon as possible after experiencing them and we will share at the monthly meetings.
11.. Purchase of multiple copies of Singing the Journey (Teal Supplement): We currently have about ten copies of the supplement and need at least 40 more. Martha will determine costs, and the Committee will discuss funding options at a future meeting.

13.. Theme for Year 2018-2019: After lively discussion, the Committee settled on "How can we inspire leaders for a complex world?" (PossibleVariation: Are we the leaders we have been waiting for?)
