Minutes for January 10, 2018 Meeting of the Worship & Music Committee
In Attendance: Adeline Bailey, Kat Hawbaker, Martha McGovern, Maggie Meyer, Shari Miller
1.. Minutes of the December meeting were approved.
2.. Correspondence: Martha will express to thanks to LeRoy, Jane, George, Darryl, Cynthia, Shari, and Nancy Lee for Dismantling Efforts.
3.. Reports from Specific Task Teams:
1.. Aesthetics Team: Holiday decorations were effective. Candles in windows were needed only during the Christmas Eve service. Descriptions of garlands for the different celebrations were effective; perhaps we should hand them out when the decorations are first revealed. The question of whether to have greens on the fence is still up for consideration. The "all are welcome" dismantling was lightly attended, but the task was completed quickly, so participants did not stay for a meal. We need to be clearer about time; a few members of Women's Group were confused. Transition to Social Hall was accomplished with little trouble because members were so cooperative, but a bit more organization might have ensured that all necessary equipment would be available for the first service.
2.. Special Music Team: Suzyn was absent but Kat reported that she, Dawn, and Suzyn sang as a trio for the Candlelight Service.
Last Sunday in September: Andrew McKnight -- degree of involvement TBD
3.. Worship Associates Team: Martha will be sure an updated WA Checklist and script is available in the Social Hall for the January and February services.
4.. Piano Task Force:
5.. Technology Task Force: The Committee approved reimbursement requests to Mike Bailey for a multidirectional microphone ($169) and a router, cable and wall plate for improved reception for live broadcasts ($80.53). Request that attendees not record services (especially not video). The light impacted ambience of the Candlelight Service. There are issues with copyright for music.
6.. Task Force for the Time for All Ages:
7.. Coordination with Buildings & Grounds: In relation to FUUSM storage areas and needs, Maggie Meyer reported on the survey she and Kat had done and on communications with Joe Baker. After review of these actions, the Committee made the following suggestions:
1) Identify what bins we currently have and what additional ones we need
2) Costs for the storage modifications and purchase of additional bins should be charged to the Buildings and Grounds Committee budget.
3) Decisions about the disposition of "props" for the Sanctuary and specific services should be made in face-to-face meetings with representatives from Buildings & Grounds, the Aesthetics Team, the Worship & Music Committee, and Rev. Kat.
4) At least a few representatives should be familiar with the history of the church's storage issues.
Action Recommendations:
Step 1 - Begin with an inventory of storage areas and discard all agreed-upon items in the following sequence of storage areas:
· Social Hall - Consult with the Community Meal Committee and Adult RE to identify what shelving should be enhanced. Coordinate with the current plans of Buildings & Grounds.
· Bell Tower
· Brides' Room
Step 2 - Thereafter, a quarterly inventory and purging should be done by the same representative group.
4.. Re-Usable Folder: Adeline & Kat The Committee approved a reimbursement request from Adeline Bailey for folder printing costs of $140. The Committee also expressed admiration for the final product and appreciation of all Adeline's efforts.
5.. Board policy concerning special collections: After the January 20 Committee Recharge workshop, Shari will report on the Board's policy related to special collections and procedures for counting and recording contributions to special causes. Orally during the service, in print within the order of service, Weekly Update, and Confluence, we will emphasize the consistent need for clear labeling on the memo line for checks and on the envelopes for cash.
6.. Social Justice and Communication
Contact names and numbers for often requested community services: Kat will address this
concern during the January 20 Committee Recharge.
7.. Martha shared her experience with the Buckman Bridge UU Church in Jacksonville, Florida, both their efficient use of the space in the printed order of worship and their Festivus service.
