Minutes for March 1, 2017 Meeting of the Worship & Music Committee

In Attendance: Adeline Bailey, Peg Clifford, Tabatha Hubbard, Rev. Kat Hawbaker, John Maddox, Martha McGovern (Chair)

1.. Minutes of the February meeting were approved with corrections.
2.. Correspondence: Shari Thank you notes needed for Jeff Danner and David Clements.
3.. Reports from Specific Task Teams:
1.. Aesthetics Team: Nancy Lee, Gillian Harrison, and Jane Tumas-Serna have agreed to serve on the Aesthetics Team. Their request for budgeted funds has been honored.
2.. Special Music Team: Suzyn will schedule Blake Hubbard and will coordinate the performance of "Quiet" for the March 26 service.
3.. Worship Associates Team: Andrew Clovis, Amy Miller, Gene Barry, and Dawn Hewitt have expressed interest in serving as Worship Associates. Experienced Worship Associates will sign up to mentor each WA as the occasion arises. Peg Clifford asked to be mentored, also, because it has been so long since she served as WA. Kat will be her mentor.
4.. Piano Task Force: Kat requested clarification about the process of renewing the sanctuary piano and identification of where we are in that process. Suzyn Mills, Joe Baker, and Chris Purdy should be able to provide that information. Martha will make inquiries.
    5.. Technology Task Force:
6.. Task Force for the Time for All Ages:
7.. De-Clutter Corps: The Saturday, March 25 meeting of the De-Clutter Corps will be devoted to organizing the holiday decoration materials. The group will gather at 1:00 p.m. Tabatha and Martha will participate. Others are welcome.
4.. Selection of Specific Lamp for Piano: Shari - next meeting
5.. Update on FUUSM attire - John reported that 39 shirts were ordered in February. Thus, the cost of 100 shirts has been covered. Profits from additional sales will go to the Piano Fund. The shirts are $15 each or 2 for $25. (Size 2X will cost $17 each or 2 for $29.) People need to pay as they order.
6.. Opportunity: Marcia McFee will be giving a workshop in Pittsburgh, Saturday, April 8, 2017 on the topic of "Designing Worship like a Filmmaker." Kat and Peg will be attending.
7.. Leadership Development Funds: Kat has requested that the Board set up a budget line for leadership development funds for members/friends of the congregation. The committee encourages one fund at the Board level rather than multiple lines at the committee level because 1) the funds may not be needed by a committee each year and 2) leadership development often involves multiple areas of congregational life.
8.. Budget - Jeff Danner requested that his stipend for the Sunday reflection be donated to a specific project of our choosing. The Committee agreed to send the $75.00 to the local Circles Campaign, a program that aims to break the cycle of poverty. Martha will be sure that the donation gets to the local coordinator ( Kathryn McCloud) and that Jeff is informed of our decision.
9.. Proposed Budget for 2017-18: The proposed budget was approved and submitted to Linda Lawton.
10.. Statement to Personnel Committee in Support of Randall Kidder's Contributions: Martha will compose a draft statement and submit it to the Committee for reaction. Once finalized, the statement will be submitted to Karen Binkley.
11.. Re-Usable Folder: Kat and Adeline will design a sample folder with plans for piloting its use during the summer.
12.. Theme for Year 2016-17: "What does democracy look like?"
13.. Possible Topics and speakers for future services: multiple intelligences, powerful children's stories, ages of women, This I Believe, family stories as carriers of family values, June Teenth celebration, reflections of people who grew up in UU congregation (Jay Phillips, Mike Bailey, Dean Banziger), Bill Bauer on suicide and kindness, reflections of former ministers, Jim Couts on Jubilee Gardens, LeeAnn Gallucci on recovering from loss, Living Mindfully - Prepare for the Unexpected (Robin Bozian, Anita Newhart, Sue Montera, Virginia Mayle), anti-bullying and Shari's Flower Story, Quill as a storyteller, Quakers on consensus.

STAFF COST Pianist - Sunday service weekly, 6 Sundays off with pay, Christmas Eve service

Explanation of Worship & Music Requests

1. Music, Other: Costs of sheet music and downloads for last year were $425.

2. Piano Maintenance: Randy now has an electronic keyboard for practice, so the cost for tuning the practice piano once per year has been eliminated.

3. Worship Program:

· The standard pay for an ordained minister as guest speaker has risen to $250.00.

· Part of the pianist's compensation is six paid Sundays off, but music is so critical to the worship service that we have needed to pay a substitute pianist $100 for each of those Sundays.

4. Worship Supplies:

· Worship & Music Committee has identified the need for more stable stands for both the projector and screen in the sanctuary and for more versatile projection equipment.

· The Committee also established an Aesthetics Task Team and realizes that they need a budget to acquire resources for beautification of the Sanctuary.
